TERMS AND CONDITIONS
TERMS OF SERVICE for registration to “Retail Insights” organized by United Media Danmark ApS, Sølvgade 10, Copenhagen, DK, company registration number 40942084 registered via www.retailinsights.org.
1. General
1.1 The organizer of this is event is United Media Danmark ApS, Sølvgade 10, Copenhagen K, DK, company registration number 40942084 (from here on known as “Organizer”)
1.2 The Registration agreement is made between you and the Organizer, Retail Insights.
1.3 This set of Terms of Registration (from here on known as “Terms”) apply to the registration for the related event via www.retailinsights.org. The Terms only apply to this particular event and the Terms for other events (even from the same Organizer) may not necessarily be identical.
1.4 The Terms includes important information about the Organizer’s processing of your personal data and we recommend that you closely go through the Terms.
1.5 The Terms must be read and accepted by checking a checkbox intended for this purpose.
2. Registration
2.1 Registration for the event is done at www.retailinsights.org.
2.2 Registration for the event closes on the day of the event at 07:00 AM.
2.3 If payment is required, registration is not valid unless the payment process is completed or another way of payment is agreed upon.
3. Tickets
3.1 Once you have registered, you will receive a confirmation in your email inbox with information about the event you will be attending.
3.2 The Organizer is able to refuse access to the event unless the receipt is shown when arriving at the event. The price of admission will not be refunded if charged.
3.3 In the event of purchasing the wrong pass, which is explicitly defined on the “Register” page, the pass will be cancelled, and a voucher of equivalent value at the time of purchase will be issued. This voucher is valid for a period of twelve (12) months from the date of issuance and can be utilized for attendance at any of the Oranizer’s events during this timeframe. It remains the responsibility of the registrant to review and comply with the defined criteria for the correct ticket type, acknowledging that the Organizer holds the final authority in determining the accuracy of the ticket selection.
3.4 All sales made on www.retailinsights.org are final and subject to VAT.
4. Changes made by the Organizer
4.1 After registration for an event, it may, be necessary for the Organizer to cancel or change details about the event. This may be, but is not limited to, sudden illness among the involved persons, weather conditions or similar situations that may make the event impossible or difficult to conduct.
4.2 If the Organizer is forced to cancel the event, the full price of admission is refunded. The Organizer will contact you with specific information in that case.
4.3 The Organizer will as much as possible keep you informed about changes via email and as soon as possible. The Organizer reserves the right to:
– Change the time of the event with up to 2 hours compared to the original start time.
– Change the date of the event due to unforeseen circumstances, events, effects or matters that prevents the Organizer from attaining the original purpose of the event in accordance with article 6.1.
– Change the location of the event, for instance, due to a higher number of attendees than expected. The new location, however, should be within 50 km of the original location.
– Change the specific content of the event, however, only so that the original purpose of the event is still attainable.
– Complete the event with other performers than originally planned if the originally planned performer(s) are prevented from participating.
4.4 You can not as a result of these changes choose to cancel and refund your registration unless the Organizer has opted to allow this. In that case, the cancellation can take place until the specified time.
4.5 The Organizer can not be held liable to losses suffered due to the changes made as the Organizer has already reserved the right to make these changes.
5. Material Adverse Effect
5.1 “Material Adverse Effect” means any event, change, circumstance, effect or other matter that has, or could reasonably be expected to have, either individually or in the aggregate with all other events, changes, circumstances, effects or other matters, with or without notice, lapse of time or both, a material adverse effect on the Event (financial or otherwise), taken as a whole, or the ability of the Organizer or the Supplier to perform its obligations under this Agreement or to consummate timely the transactions contemplated by this Agreement.
On the Date of the Event, there shall not exist any event, change, or occurrence arising after the date of this Agreement that, individually, or in the aggregate, constitutes a Material Adverse Effect. In the event of a Material Adverse Effect arising, the Organizer has the right to cancel the Event without any liability.
6. Responsibility of the Organizer
6.1 The Organizer is responsible to you in any cases regarding the event.
7. Changes made to the Terms of Registration
7.1 After registration is completed, the Terms for that particular event cannot be changed unless the change is in your favour.
7.2 These Terms apply only to this particular event, and you are encouraged to read them in full.
7.3 The Terms only apply to this particular event and the Terms for other events (even from the same Organizer) may not necessarily be identical.
8. Cookie- and Privacy Policy
8.1 General
8.1.1 The Cookie- and Privacy Policy in this chapter describes how the Organizer collects and processes your personal data when you sign-up for Retail Insights Conferences.
8.1.2 The Organizer is a data controller and data processor. You can always contact the Organizer regarding questions about the processing of your personal data. Contact information is stated in the below section “Rights of the data subject” item “Right to object”.
8.2 What personal data is collected and for what purpose
8.2.1 The processing of the information typed into the system at the time of registration
8.2.1.1 When registering, the provided information, will be transferred and stored in the Organizer’s system where the information will be available to the Organizer.
8.2.1.2 For the event, the Organizer requires you to bring up the following pieces of information:
– First Name
– Last Name
– E-mail
– Organization
– Job Title
– Mobile
8.2.1.3 The Organizer holds the right to contact you via mobile and/or e-mail, with updates about the event together with information about future and related events. Further, the Organizer reserves the right to contact you with other commercial material revolving around partnerships with and on behalf of third parties.
8.2.2 The processing of the information you give when you visit www.retailinsights.org.
8.2.2.1 When you visit the website www.retailinsights.org, your activity is registered in a log. The log stores information about all your activities on the website. The Organizer is, therefore, i.a. able to observe (a) what IP address you use and (b) what pages you have visited on the website. The log is used to collect and analyze statistics about how you and other visitors use the system to optimize the final user experience.
Your personal data in the log is anonymized 2 years after the event is finished.
The legal basis for the processing of the information you give when you visit the website www.retailinsights.org is EU General Data Protection Regulation article 6, paragraph 1, schedule b and f.
8.2.3 Processing of personal data when you receive invitations, confirmations, reminders, etc. on your email
8.2.3.1 When you receive invitations, confirmations, reminders, or similar in your email from the Organizer, a registration of whether or not you have received and opened the email can be carried out. The registration is carried out for the Organizer to be sure that you have received and seen important information about the event contained in each specific email. The legal basis for the processing of personal data when you receive invitations, confirmations, reminders, etc. is EU General Data Protection Regulation article 6, paragraph 1, schedule b and f.
8.3 Recipients of your Personal Data
8.3.1 The Organizer does not sell your stored personal data to any third-party providers.
8.3.2 The Organizer will not make the stored personal data available to any third party unless it otherwise explicitly is outlined in these Terms or if you specifically have given your consent to it through checking a checkbox.
8.3.3 To manage your registration through www.retailinsights.org, personal data will be sent to external recipients. The external recipients are among others payment providers, web-hosting suppliers, and third parties specifically using the information on the Organizer’s request. An example could be the conference center where the event is held or a provider of a conference mobile app. If the Organizer will contact you about the event via text messages a text message gateway is used. In addition, a phone operator is used when communicating by phone.
8.3.4 A map function is incorporated at www.retailinsights.org to show you where the event takes place. The map is provided by Google LLC. When you visit the website www.retailinsights.org your browser will communicate with the map system. The map system will, therefore, receive information about your IP address and that you have visited the website www.retailinsights.org. A cookie is also saved on your computer to register your use of the map function at Google LLC. Google LLC. is an international firm where the transfer is secured by Google LLC certification under the EU-U.S. Privacy Shield, see EU General Data Protection Regulation article 45.
8.3.5 By signing up you accept that the Organizer shares a participation list containing name, role, company, phone, and e-mail with registered third-party partners cooperating about the Event.
8.3.6 The Organizer is entitled to give a list of participants to the speakers of the event and other registered participants of the event if “legitimate interests” in accordance with a concrete assessment is being held.
8.3.7 By registering at www.retailinsights.org, you accept that all your given credentials may be used for internal and external analyses and statistical purposes such as surveys, reports, and other commercial material performed both by the Organizer and its third-party partners.
8.4 Security
8.4.1 www.retailinsights.org has implemented appropriate technical and organizational measures to ensure personal data from accidental or unlawful destruction, loss, alteration, and unauthorized disclosure or abuse.
8.4.2 Only persons who require access to personal data in order to fulfill work obligations have access to personal data.
8.4.3 The information is stored in unencrypted form and transferred encrypted.
8.5 Rights of the Data Subject
8.5.1 As a registered user you always have the opportunity to access the stored information about you, as well as object to the registration in accordance with the EU General Data Protection Regulation.
8.5.2 The EU General Data Protection Regulation gives you as registered the following rights
8.5.2.1 Right to access your personal data
You are always entitled to obtain confirmation as to whether or not personal data are being processed, including among others the purpose of the processing, categories of personal data, recipients, etc. You can also ask for a copy of your information. If you want to use your right to access your data you must send a written request to the person responsible for data at the Organizer. You may be asked to provide documentation that can confirm you are the person you say you are.
8.5.2.2 Right to Rectification
You have the right to obtain rectification of inaccurate personal data concerning yourself. If you become aware of any inaccurate information, you might have the opportunity to change the information in the system if the Organizer has provided you with this opportunity. If you can not change the inaccurate information yourself, you are encouraged to correct the information by contacting the Organizer.
8.5.2.3 Right to Deletion
Under certain circumstances, you have the right to obtain from the Organizer the deletion of personal data concerning yourself. If the processing is still necessary e.g. in case of compliance with legal obligations or for requirements to be determined, pleaded, or defended, then the Organizer is not obligated to delete your personal data.
8.5.2.4 Right to restriction of processing
You have the right to obtain from the Organizer restriction of processing of the stored personal data concerning you, e.g. if you contest the accuracy of the personal data or the processing is unlawful.
8.5.2.5 Right to data portability (Delivery of data in a commonly used format)
Under certain circumstances, you have the right to receive from the Organizer personal data concerning yourself provided to you in a structured, commonly used, and machine-readable format to be transmitted to another controller.
8.5.2.6 Right to object
You have the right to object to the processing of personal data concerning you.
You can use your rights, including the right to object by contacting the Organizer, below is the contact information. The Organizer will after your request check whether or not the requirements of your request is fulfilled and subsequently complete the changes or delete the data as soon as possible.
